Front of house (similar to a maître‘d)
Reception (answering of calls, taking and relaying messages, couriers, deliveries etc.)
Office Coordinator (Purchasing and maintaining the full office function)
Administrator (as described in all of the below)

Assistance to Portfolio Managers:
Handle expense claims (collating, checking [approval done by RS, GP still])
Handle timesheet admin (checking, leave checking)
Appointment management (scheduling)
Client on-boarding administration
Bid collation and management (if we are bidding for work)
Billing instruction creation ([approval done by RS, GP])

Managing office budget
MS Office intermediate level (pivot table, mail merge, build a slide with animations)
Keeping teams list updated and relevant
Keeping track of birthday schedule
Birthday announcements (across Teams, LM’s and Fun Board)
Setting and controlling purchasing budget (office groceries’ stationary; office furniture etc.)
Managing daily lunch orders (HO and Synchramed)
Managing car wash requests (HO and Synchramed)
Arranging travel details as and when requested
Sourcing new suppliers as requested
Keeping BEE records of suppliers
Internal Training coordination and set up Inc. reminders and schedules to all
On boarding staff– starter packs and remotes etc to office
On boarding Clients – Client gift
Keeping track of keys in office
Strong Room custodian
Telephone system and messaging system custodian
First Aid
PA/ assistant duties to company MD
Licencing of company vehicle when required
Full Building maintenance

Platters/Cakes for functions

Marketing assistant
Assisting with campaigns – know how on Digital and Social platforms (strong Power-Point)
Assist in coordination and set up of events
General marketing assistance as and when required (i.e. reception displays and invitation creation)

Ad Hoc
Filling bar fridge for Friday
Ensuring all office maintenance and repairs are taken care of
